Are you a highly organised, proactive professional looking for a varied and meaningful role supporting senior leadership? We’re looking for an Executive Coordinator to provide dedicated administrative support to the Chief Executive and wider team, ensuring smooth and efficient day-to-day operations.

This is a fantastic opportunity to join a small, purpose-driven not-for-profit organisation working on global issues that matter. You’ll play a central role in keeping things running seamlessly — from managing diaries and travel to supporting meetings, correspondence, and financial processes.

Key Responsibilities

  • Executive Support – Manage the CEO’s diary, schedule meetings, and coordinate appointments. Prepare agendas, take minutes, and follow up on actions.
  • Office Administration – Handle correspondence, draft and proofread communications, maintain internal documentation, and support the delivery of projects and initiatives.
  • Financial Administration – Process invoices, monitor budgets, and assist with expenditure tracking and reporting.
  • Travel Coordination – Organise travel arrangements and itineraries for the CEO and team, ensuring cost-effective and efficient planning.

About You

We’re looking for someone who is:

  • Experienced in administration or coordination, ideally supporting senior management.
  • Exceptionally organised and detail-oriented, able to juggle multiple priorities.
  • A confident communicator with strong written and verbal skills.
  • Proficient in Microsoft Office and collaboration tools.
  • Discreet and professional when handling confidential information.

Desirable:

  • Experience in financial or invoice administration.
  • A background in a not-for-profit, membership, or professional association environment.
  • An interest in sectors such as energy, policy, or transport.
